FenceLinks Features
FenceLinks was designed to be simple enough that a new office hire can work a lead the same day — and complete enough that a fence company does not need a stack of other subscriptions around it. Every feature below is live and included at every price.
Built for fence companies, by a Fence Guy.
Win the Work
Paid inquiries stop living in one person's inbox or on a truck dashboard. Every lead has an owner, a stage, and a next step.
Every job moves through the same 21-stage pipeline — lead, appointment, estimate, approval, production, installation, invoicing, close-out — so nothing quietly stalls between the office and the field.
A quote widget for the company website feeds new inquiries straight into the pipeline as tracked leads — no re-typing a web form into the system.
Each company prices from its own catalog of materials, styles, heights, and colors. Drawing the fence line on a map measures footage directly into the estimate.
Your customers can book their free estimate online — the public calendar shows open times only, never another customer's name or job, and a taken slot simply disappears. Double-bookings are refused before they happen, and your rules (no same-day bookings, your Saturday hours) are enforced automatically.
When a customer says yes by phone or in person, an admin can record the approval on their behalf — it displays as “Approved by phone — recorded by” the staff member who took it, and the customer gets a confirmation email. Nothing is backdated or dressed up as an e-signature.
An expired estimate renews in one click: a fresh proposal link is minted, the old link reads “Proposal Link Replaced,” and the prices stay exactly as quoted — no rebuilding the estimate to win back a slow decider.
Run the Job
The job record carries the plan, the paperwork, and the materials — so crews work from the record, not from memory.
Change Orders, handled like a fence company actually works — When a customer adds a gate or changes the plan mid-job, the change order lives on its own tab on the job, pre-filled with the job's information and numbered to match (FG-style: JobNumber-CO-1, CO-2…). Your salesman writes the simple terms, picks how it's paid — due now, due at completion, or added to the final bill — and the customer signs it right from the email, just like the contract. Every change order is its own signed contract with its own amount, so the original contract never gets quietly rewritten.
Every proposal can print your schedule of progress payments — your deposit rule, your milestones — so the customer knows exactly what is due and when before they sign.
Job materials roll up into purchase orders from the sold estimate, so what gets ordered matches what was priced — no second takeoff typed from scratch.
Permits, HOA approvals, and 811 locates are tracked on the job with their statuses, so a start date never sneaks up on a missing permit.
Estimate appointments and install schedules live on shared calendars the whole office can see — with installer assignments and the day's route in one place.
Photos and job documents live on the job record, and the morning dashboard flags completed jobs still missing their photos — before the review request goes out.
Get Paid & Get Reviewed
Clear invoice status, honest payment tooling, and review requests that send themselves.
Send the invoice straight from the job, with a Pay Now link through your own payment provider and your bank-transfer details right on it. FenceLinks tracks who paid and who still owes — your provider moves the money, not us.
Finished jobs trigger a review request to the customer automatically — with your Google and Trustpilot review links side by side.
Sales, job costing, and follow-up health at a glance — including commissions by contract, so payday math is a report instead of an argument, and a loss-reason report that shows where estimates are dying and why.
Admin, Office, Sales, Project Manager, and Accounting each sign in to the view the job requires — installers work from their assigned jobs rather than the whole company's records.
Accounting and payments stay with the providers already trusted. Add a QuickBooks Online account and register a merchant services provider of choice — QuickBooks Payments, Stripe, Square, or another provider — right in Admin → Integrations. No forced switch to a house provider.
Live QuickBooks syncing and in-CRM card charging are not yet enabled, and we say so. There is no self-serve import, and we don't move your data for you — every system lets you export your customer list, and we'll give you the exact steps for what to export so your book comes over clean.
Pricing and company fit are covered in plain language during the demo — no pressure, no tier maze.
