The Daily Reality

The Work Between the First Call and the Final Check Is Where Profit Leaks

Every fence company knows the pattern: a lead written on a windshield note, an estimate rebuilt from memory, a crew calling the office for an address. FenceLinks connects each step so the information entered once carries through the whole job.

The problem

Leads scattered across texts, email, and sticky notes

In FenceLinks

Centralized lead records with follow-up tracking — every inquiry, its source, its assigned salesperson, and a call count that changes color as follow-ups stack up, so aging leads stand out instead of slipping away.

The payoff

Less time searching, fewer overlooked opportunities.

The problem

Customer and project details typed over and over

In FenceLinks

Lead, estimate, and job live on one connected record. Contact details, project address, fence specifications, and notes entered at intake flow into the estimate, the job file, and the invoice.

The payoff

Less duplicate administrative work.

The problem

Nobody can tell if a job is actually ready to build

In FenceLinks

A 21-stage pipeline and a job preparation checklist — permit, HOA approval, 811 utility locates, material order — show exactly what is done and what is still missing before a crew rolls.

The payoff

Earlier visibility into missing steps.

The problem

Office and crew working from different information

In FenceLinks

Shared job notes, site photos, gate and access details, and purchase orders sit on the same job record the installer opens in a phone browser at the job site.

The payoff

Fewer clarification calls and coordination problems.

The problem

Unclear balances and payment status

In FenceLinks

Deposit and final invoices with payment status on the job record — who paid, who owes, and how much is still open, visible without digging through a filing cabinet or a spreadsheet.

The payoff

More organized collection follow-up.

The problem

No clear view of which jobs made money

In FenceLinks

Dashboards with sales visibility and job costing — including commission-by-contract and loss-reason reports — plus morning gap queues that flag unsigned proposals, sold jobs with no install date, and completed jobs missing photos.

The payoff

Better-informed pricing and management decisions.

Follow a Fence Job from First Call to Final Payment

One sample project, start to finish: the Henderson backyard — 142 feet of 6 ft cedar privacy fence with one walk gate, at a fictional address. Select any stage, step through with Back and Next, and watch the same record carry through. No email address required.

FenceLinks — Lead RecordSample

A new inquiry lands — and nothing gets lost

The website inquiry arrives as a lead record with contact information, project address, and lead source already attached. A salesperson is assigned and the follow-up clock starts.

Why it matters

Paid inquiries stop living in one person's inbox or on a truck dashboard. Every lead is visible, assigned, and followed up on schedule.

Stage 1 of 8

One System, Every Seat

Built for Every Role in a Fence Company

FenceLinks runs on role-based permissions — Admin, Office, Sales, Project Manager, and Accounting each sign in to the view the job requires. Select a role to see a typical day.

Instant Quote Widget

A quote widget for the company website feeds new inquiries straight into the pipeline as tracked leads — no re-typing a web form into the system.

Pricing Catalog & Map Draw Tool

Each company prices from its own catalog of materials, styles, heights, and colors. Drawing the fence line on a map measures footage directly into the estimate.

Change Orders

Change Orders, handled like a fence company actually works — When a customer adds a gate or changes the plan mid-job, the change order lives on its own tab on the job, pre-filled with the job's information and numbered to match (FG-style: JobNumber-CO-1, CO-2…). Your salesman writes the simple terms, picks how it's paid — due now, due at completion, or added to the final bill — and the customer signs it right from the email, just like the contract. Every change order is its own signed contract with its own amount, so the original contract never gets quietly rewritten.

Automatic Review Requests

Finished jobs trigger a review request to the customer automatically — with your Google and Trustpilot review links side by side. The morning dashboard also flags completed jobs still missing their photos.

Bring Your Own Tools

Accounting and payments stay with the providers already trusted. Add a QuickBooks Online account and register a merchant services provider of choice — QuickBooks Payments, Stripe, Square, or another provider — right in Admin → Integrations. No forced switch to a house provider.

Where the Money Goes

More Visibility into the Costs Between the Estimate and the Final Payment

Fence company margins are thin — materials, labor, overhead, and commissions take most of every job dollar. The recoverable waste sits in the office work around the job. FenceLinks attacks that work directly.

Reduce Administrative Work

Organized customer records and connected project information reduce repeated entry, searching through messages, and manual status updates across the office.

Improve Follow-Up Consistency

A visible lead pipeline and organized follow-up activity help keep paid inquiries from being overlooked — every lead has an owner and a next step.

Improve Installation Coordination

Accessible job details and preparation checklists help reduce avoidable confusion, missing information, and unnecessary return trips to a job site.

Strengthen Job-Cost Visibility

Cost and sales reporting supports earlier identification of pricing problems and margin pressure — while a job can still be corrected, not after the season ends.

Organize Collection Activity

Clear invoice and payment status helps office staff prioritize outstanding balances instead of reconstructing who owes what from memory.

Review Overlapping Software Expenses

Where FenceLinks covers lead tracking, estimating, scheduling, job files, invoicing, and review requests in one system, separate subscriptions for those jobs become candidates for cancellation.

Estimate the Value of Less Administrative Work

Every assumption is visible and editable. Figures below start with clearly labeled example values — replace them with the company's own numbers.

Example: 6 hours of searching, re-typing, and status-chasing per week.

/ hour

Example: $22/hour for office staff time.

/ month

Example: $120/month across overlapping tools FenceLinks replaces.

/ month

Confirmed standard price: $150/month flat, unlimited users. Editable for other plans.

Monthly staff capacity value

$572

Hours/week × labor cost × 52 ÷ 12. Recovered time is available capacity — it becomes payroll savings only if staffing costs actually decrease.

Potential monthly software expense reduction

$120

Only subscriptions actually eligible for cancellation — counted at the amount entered above.

Illustrative net monthly value

$543

≈ $6,516 per year at these assumptions.

Illustrative estimate based on entered assumptions. Actual results depend on company workflows, adoption, staffing decisions, and software expenses.

The Fence Guy Story

Born Inside Fence Guy. Built Around Fence Companies.

FenceLinks grew out of Fence Guy's need for a practical way to manage leads, estimates, scheduling, job information, and payments. The original goal was to bring daily fence operations into one system. The broader vision became a CRM designed around the needs of fence companies, from the first inquiry through project completion and collection.

The problems are familiar to anyone who has run a fence crew: busy phones, estimates awaiting approval, schedules changing by the hour, installers calling with questions, project information scattered across trucks and desks, and invoices still outstanding weeks after a beautiful fence was finished.

FenceLinks was founded by Todd Neuens, owner of Fence Guy in Denison, Texas, bringing 40 years in the fence installation business to the design of every screen. The CRM was built and proven inside a working fence company first — then opened to the rest of the industry.

Fence Guy runs on a simple promise: “Great Fences. Good Neighbors.” FenceLinks carries the same standard into software.

Straight Answers

Frequently Asked Questions

What size fence company is FenceLinks built for?

FenceLinks is designed for small fence companies — the kind where the owner may also sell, the office is one or two people, and crews need information without phone tag. Unlimited users means growing companies are not penalized for adding staff.

Does FenceLinks handle both residential and commercial work?

Yes. The same pipeline carries a backyard privacy fence and a commercial project: lead, estimate with catalog pricing, approval, production checklist (permits, HOA where applicable, 811 locates), installation, invoicing, and job costing.

Does FenceLinks work on phones and tablets?

Yes — FenceLinks runs in a phone or tablet browser, which is how installers use it at the job site for notes, photos, and job details. There is no separate app to install or keep updated.

Can staff and installers have different access levels?

Yes. Role-based permissions cover Admin, Office, Sales, Project Manager, and Accounting. Each role sees the tools its work requires — installers, for example, work from their assigned jobs rather than the whole company's records.

Can existing customer data be brought into FenceLinks?

There is no self-serve import, and we don't move your data for you. Every system lets you export your customer list, and we'll give you the exact steps for what to export so your book comes over clean. The demo is a good place to review what a specific company's records look like today and plan the move.

What training and onboarding are included?

Onboarding covers account setup, pricing catalog entry, and role-by-role walkthroughs, backed by a written playbook. The system was designed to be simple enough that a new office hire can work a lead the same day.

Does FenceLinks integrate with QuickBooks or take card payments?

Yes — bring the tools already in use. In FenceLinks settings under Admin → Integrations, a company adds its own QuickBooks Online account and registers its own merchant services provider — QuickBooks Payments, Stripe, Square, or another provider — with no forced switch to a house provider. Live syncing and in-CRM card charging are not yet enabled. FenceLinks also tracks invoices and payment status on the job record, so balances stay visible in one place.

How does subscription pricing work?

Standard pricing is $150/month flat with unlimited users, after a 30-Day Free Trial — card required, $0 charged until your trial ends, and your subscription begins automatically unless you cancel before day 30. Setup is $750, waived with annual prepay at $1,800/year. Founding Member pricing — no setup fee and $125/month locked for life — is available for a limited time.

What happens in the live demonstration?

A 20-minute live session: a review of the company's current process, a walkthrough of a sample fence job from first call to final payment, the features relevant to that operation, and a straightforward discussion of implementation, pricing, and potential operational value.
